INSTITUTION DESCRIPTION

Yayasan Artikel Tiga Tiga Indonesia is a policy research institution for inclusive development issues. Artikel Tiga Tiga Indonesia has produced various researches especially in 4 main areas: (a) education; (b) regional economy; (c) natural resources/climate change; (d) Gender Equity, Disability and Social Inclusion (GEDSI). In addition to research, Artikel Tiga Tiga Indonesia has also provided various policy development assistance for related governments and built networks with various relevant civil society organizations.

The Three Three Articles Foundation in Indonesia is looking for candidates internship-admin officer for NRCC and GEDSI compartments. Interns will support administrative and operational activities for NRCC and GEDSI projects and ensure smooth program implementation. NRCC and GEDSI interns will be under the supervision of the Project Manager, and coordinate with other related teams. The internship duration is 3 months and 6 months with the opportunity to be extended and assigned to other projects.

LOCATION & HOW IT WORKS

Implementing a hybrid work mode with the majority of work done remotely (WFH), while WFO is adjusted to the needs of a particular project or activity. Article 33 Indonesia's office is located in Jakarta.

JOB DESCRIPTION

  • GENERAL ADMINISTRATION (40%)
    • Compile, manage and archive documents related to NRCC-GEDSI projects.
    • Assist in scheduling internal and external meetings, preparing agendas, and documenting meeting results (MoM).
    • Compile and manage correspondence, memos and other official communications relating to NRCC-GEDSI.
  • FINANCIAL ADMINISTRATION (40%)
    • Assist in collecting and managing evidence of expenditure (receipts, invoices) for NRCC-GEDSI financial reports.
    • Support program team in collecting and recording NRCC-GEDSI project expenditures according to procedures. 
    • Assist in the preparation of financial reports and managing supporting documents.
  • TEAM COORDINATION AND COMMUNICATION (20%)
    • Coordinate with related teams in fulfilling administrative and operational needs, including the provision of office equipment and needs.
    • Support the implementation of internal activities such as training, coordination meetings, and field visits.

ADDITIONAL NOTES

  • The scope of this work does not close the opportunity for intern-admin officers to explore other interests and talents they have during the internship process. If intern-admin officers show interest in other activities such as writing, research, advocacy, and other fields, then the opportunity to develop these skills can be given according to project needs and supervisor guidance.

EXPECTED OUTPUT

  • Neat and complete logistical and administrative preparations for every field activity.
  • Well-managed travel and expense documentation.
  • Smooth execution of office tasks while the team is in the field, including timely meeting arrangements and reporting.

SPECIFIC QUALIFICATIONS

  • Fresh graduates from Management, Business Administration, Accounting, or related fields (Fresh graduates from vocational/D4 are highly encouraged to apply)
  • Experience or interest in supporting administration in the development sector (NGOs) would be an added advantage.
  • Good communication and organizational skills, with the ability to manage multiple tasks simultaneously.
  • Proficiency in Google Workspace (Docs, Sheets, Slides), with high attention to detail.
  • Able to work independently and in a team, and flexible to changing priorities as the program progresses.

  • Oriented to good output, on time, accurate and innovative details;
  • Can work together in teams or independently, able to adapt to varied work environments, have good interpersonal qualifications, able to work together in teams consisting of various backgrounds, beliefs, ethnicities and cultures and nationalities;
  • Able to handle several programs/work simultaneously;
  • Have good leadership and communication skills;
  • Fluency in English and Indonesian both verbally and in writing;
  • Have initiative, creativity and problem solving skills;
  • Able to work under pressure and tight deadlines;
  • Uphold the principles and policies of Article 33 Indonesia.
